How to Respond to a Google Review

A simple approach for replying to both good and bad reviews on your Business Profile.

Every review is public, and so is your reply — future customers read both. A thoughtful response matters as much as the review itself.

Steps

  1. Read the review fully before responding, especially a negative one — don't react to the star rating alone.
  2. Thank the reviewer by name for positive reviews and mention something specific from what they wrote.
  3. For a negative review, acknowledge the issue, apologize if warranted, and offer to make it right — briefly and without getting defensive.
  4. Move any detailed back-and-forth offline (phone or email) rather than arguing in the reply.
  5. Reply as promptly as you can — a same-week response reads very differently than one from three months later.

ask datanephew

Can datanephew read and respond to my Google reviews today?

Not yet. Business Profile support is on datanephew's roadmap — once it ships, datanephew will be able to read your GBP reviews and help you draft replies.

Should I respond to every review, even short five-star ones?

Yes, even a quick "thanks, glad we could help" — it signals you're actively engaged, which matters to people reading your profile later.
